Golf South Ayrshire - South Ayrshire Council Golf Facilities

When you are applying for a season ticket for, or to play on, South Ayrshire Council golf courses ("Golf South Ayrshire") you will need to provide us with some personal data or information. As the data controller for the personal information - or data - we hold about you. South Ayrshire Council decides how your personal information is used/processed, and what it is used for. This statement provides more details about how Golf South Ayrshire will use your personal data and provides information on how to get in touch with us if you need to know more. 

Your personal data - what is it?

Personal data is information relating to a living person who can be identified from that data. Identification can be based on the information alone, or in conjunction with any other information. The processing of personal data is governed by the General Data Protection Regulation 2016 (GDPR) and supplemented by the Data Protection Act 2018.

How we will use your information

We will use your information to administer your account and to provide you with a Golf South Ayrshire Season Ticket or Pay to Play services and access to our golf facilities. This information will be processed by our staff who require access to your personal data in order to provide these services to you. We also request details of your gender to allow us to support female participation in golf, but this is not a mandatory requirement.

Offers, Surveys & Promotions

With your agreement, we may use your personal information to contact you with offers and promotions that may be of interest to you. You will only receive this information if you consent to do so.

We may also undertake surveys to consult our golfers and season ticket holders, to obtain your views on how we deliver the Golf Service. If you agree to take part, will only use your personal data as necessary to seek your participation. Any survey analysis will be anonymised but will consider the course(s) to which your responses relate. Participation in these surveys is voluntary.

Anonymised personal data will be analysed to support improved service delivery and to establish ways to meet the needs and demands of our customers. This may include sharing the data sets of the age, gender and frequency of young people under the age of 18.to support Scottish Golf participation trends.

What is the legal basis for using/sharing your information?

The legal basis for processing your personal information in respect of your season ticket and access to South Ayrshire golf courses is that it is necessary to enter into a contract with us as set out in Article 6(1) (b) of the GDPR (i.e. you have entered into a contract for the Council to provide you with access to our Golf facilities). Where we need to process special category data, such as health information, this will be with your consent to comply with Article 9 of UK GDPR.

Our legal basis for contacting you with details of golf activities, offers, promotions, surveys and competitions is you have freely given your consent. You can withdraw this consent at any time by contacting us at [email protected].

Who will we share your information with?

Your personal information is used to facilitate your golf season ticket and for payment of your green fees. When making payments to South Ayrshire Council's Golf Service, this payment process is facilitated through secure third-party software provided by Golfnow, a subsidiary of Versant Media. Golf services will not share your personal information with any other parties, unless required by law where we may share your information for the prevention of fraud and detection of crime.

How long do we keep hold of your information?

We keep your personal data for no longer than reasonably necessary. Your information will be retained in line with our Corporate Records Retention Schedule. When you hold a golf season ticket, we will keep your personal data for the current year + 1 year from termination of your season ticket.
South Ayrshire Council's Golf Service do not retain your card payment details, these are held by Golfnow for the purposes of tee and season ticket management. What are your rights?

The lawful basis for processing/using your personal data relating to your golf season ticket and access to South Ayrshire golf courses directly impacts which rights are available to you. For example, some rights will not apply in this case you do not have the right:

  • to object to the processing of your personal information.

However, you do have the following rights and can ask us to:

  • erase your personal information;
  • enable the right to data portability;
  • correct your personal information if it is inaccurate;
  • complete your personal information if it is incomplete; and
  • restrict the processing of your personal information in certain circumstances

What are the consequences of failing to provide personal information?

Where the provision of your information to the Council is a statutory or contractual requirement, or a requirement necessary to enter into a contract, you are obliged to provide the information. If the required information is not provided, we will not be able to activate your season ticket or to provide you with access to Golf South Ayrshire golf facilities..

What about Automated Decision- Making?

The Council does not use profiling or automated decision-making. Some processes are semi-automated (such as data matching for the prevention or detection of fraud), but an actual person will always be involved before any decision is reached affecting any individual.
